Check the Lincoln County court page on mncourts.gov for the most current hours and contact information. Smaller courthouses can sometimes have limited staff on certain days, so calling ahead is always a good idea.
The Lincoln County website links to county offices and the Lincoln County Sheriff's Office, which handles arrest records separate from the district court.
Confirming hours before your visit is especially important for Lincoln County given its smaller size and staffing compared to larger metro courthouses.
Searching Records on MCRO
Minnesota Court Records Online (MCRO) is free and covers all 87 Minnesota counties, including Lincoln. Search by name, case number, or attorney. You will see case type, charges, hearing dates, and disposition. Documents filed from July 1, 2015 onward can be viewed and downloaded at no cost.
Note: If a case did not result in a conviction, it can only be found by case number. Name searches will not return restricted cases. Contact Court Administration at (507) 694-1351 if you need help finding a specific case number.
MCRO does not require an account. The court calendar posts at 7:00 AM daily and refreshes every hour. This is handy for tracking hearing schedules without having to call the courthouse.
Records from before the digital cutoff that are not yet in the system require an in-person or written request. Lincoln County's smaller volume means older records may still be in paper format on-site at the courthouse.
Obtaining Copies of Records
Uncertified copies are free as of July 1, 2023. Certified copies cost $14. You can request copies in person, by mail, or online at mncourts.gov/help-topics/copy-request.
For Lincoln County, in-person visits during office hours are the most reliable approach. Small courthouse staff can often assist with requests on the spot. Mail requests work fine but may take longer to process given limited staff. Online requests through the state portal are also accepted and can be a good option if you cannot travel to Ivanhoe.
Fee details are at mncourts.gov/help-topics/court-fees/district-court-fees. Fees are the same statewide.
Sheriff and Local Law Enforcement Records
The Lincoln County Sheriff's Office handles arrest records and jail booking information for the county. These are distinct from what you will find in the district court system. Arrest records are created when someone is taken into custody. Court records start when formal charges are filed in district court.
For recent arrests not yet appearing in MCRO, the sheriff's office is where to start. They can also tell you whether someone is currently in custody and provide contact for the jail.
Sheriff record requests typically require a valid photo ID. Contact the office directly to confirm current procedures and any associated copy fees. Procedures can vary by request type and volume.
BCA Statewide Search
The Minnesota Bureau of Criminal Apprehension offers a statewide conviction search through the Department of Public Safety website. It costs $8 per search and covers conviction records from all 87 counties for the past 15 years. You need the full legal name and date of birth of the person you are searching.
The BCA database covers convictions only. Dismissed charges, acquittals, and pending cases are not included. For those records, MCRO provides a more complete county-level view. Many people use both tools together depending on what they need.
Federal cases are separate and must be searched through PACER, the federal courts' online access system.
Expungement in Lincoln County
Minnesota law provides two ways to expunge a criminal record. Automatic expungement under Minn. Stat. 609A.015 applies to certain case outcomes without a petition. Petition-based expungement under Chapter 609A requires filing with the court and attending a hearing.
Expungement seals a record from public MCRO searches and most background check databases. Law enforcement retains access. Some licensing boards may also retain access depending on the offense.
To start the process in Lincoln County, submit a petition to Court Administration in Ivanhoe. Guides and forms are at mncourts.gov/help-topics/criminal-expungement. Given the smaller size of the Lincoln County court, it is wise to call ahead and ask about typical timelines for petitions in that court.
Record Access and Data Privacy
The Minnesota Government Data Practices Act, Minn. Stat. Chapter 13, governs public access to criminal court records in Lincoln County. Most criminal case records are public once filed. Juvenile records, sealed records, and records involving protected parties are exceptions.
A public access terminal at the courthouse allows on-site MCRO searches at no cost. No appointment is needed. Given the courthouse's small size, the terminal may be in or near the clerk's office, where staff are also available to assist.
If a record exists but is restricted, Court Administration can confirm the restriction without providing the content. This lets you know whether a case was ever filed, even if the record itself is sealed.
